How do I evidence, chase, and record KCSiE and other custom confirmations?

How boards can confirm they've read KCSiE and other confirmations, as well as how to download a confirmations report.

Boards will need to evidence that their users have read the latest version of Keeping Children Safe in Education (KCSiE) on GovernorHub each year.

GovernorHub includes a confirmation for having read the latest version of KCSiE on every board. This confirmation also includes a link to the latest version of KCSiE available.

The KCSiE confirmation is automatically updated every September, when the latest version officially comes into effect.

Recording confirmations for KCSiE

Governors and Trustees should head to their profile page. They can do this by clicking on their name at the top of the screen and choosing Profile.

Once on their profile page, they should click on the Compliance tab.

This will show the confirmation for KCSiE, under their Declarations of Interest.

If they are not compliant - either they haven't confirmed that they've read KCSiE or they haven't confirmed since September this academic year - they will see the red 'Not confirmed' text.

To confirm, they will need to select the blue 'Confirm' button.

If they have confirmed last year's KCSiE but not the latest version (since September of the current academic year), they will see an orange warning sign next to the date of their last confirmation.

They will need to select the down arrow next to the date of their confirmation.

This will then show the blue 'Reconfirm' button. Users will need to select this to confirm the latest version of KCSiE.

If they are up to date then they will see the date they last confirmed in green.

Viewing board confirmations

You can view all board confirmations by going to the Governing Board area (this may be called something else, such as Local Committee or Trust Board), and selecting the Compliance tab.

To get an overview of KCSiE confirmations for your board, click on the icon next to the KCSiE confirmation.

This will open a window which shows the status of all users' KCSiE confirmations. They are colour coded as outlined above (red, amber, or green depending on when the confirmation was signed).

Reminding governors to confirm KCSiE

To send a reminder to anyone that is not compliant (those with red or amber warnings) click on Send reminder.

The option to send a reminder to those with outstanding confirmations will appear. It will also show the message that will be sent to these users.

If a reminder only needs to be sent to those with a live term of office, you can select the box under the message to do so.

Select the Share button.

This will post the reminder message onto the board's noticeboard. Only those with confirmations outstanding will receive the email notification reminder.

You can see who has been sent the notification by the names underneath the post. If it has been sent to more than one person, hover over the number of users the message has been sent to and it will show the names.

Confirming confirmations or declarations of interest for someone else

Board admins can record or edit this information on behalf of others.

From the list of confirmation dates, select the user you need to confirm for. This will open up their profile.

Go to the Compliance tab under their profile.

Find the confirmation you need to confirm on their behalf and select the arrow next to the confirmation date.

This will bring up the option to confirm or reconfirm.

Select the Confirm or Reconfirm button. This will update the confirmation with today's date.

The date on the confirmation will be updated and it will show as confirmed.

The confirmation will show as being confirmed by the admin rather than the user. If you hover over confirmed under the confirmation, it will show the name of the admin who selected the confirm button.

This is also the same for reports.

Within the row of this compliance report for Governor Demo, it shows that the KCSiE confirmation was made by the admin.

Custom board confirmations

If you've set up specific confirmations for your board, they will also appear in a user's profile area. Governors and trustees can confirm or reconfirm these just as with KCSiE.

Downloading evidence of confirmations

Admins can download a list of confirmations for all board members.

This can be downloaded from the Compliance section, by going to the Governing Board section and the Compliance tab. You can select the Download button to download the compliance checks report.

You can also download this report by going to the About section and then Downloads. It's the Compliance checks report.
