How do I edit a document?

Downloading and editing or live editing of documents via Google Docs or an Office 365 subscription.

There are a range of ways to edit a document on GovernorHub.

Downloading and editing a document

You can edit a document by downloading the file and then making changes to the downloaded version. You then need to upload the latest version to GovernorHub.

If you keep the name of the document the same, this will overwrite the document on GovernorHub with the new version.


​Note: if a document has downloading disabled, the admin will need to enable downloading.

To download a file, select the three dots next to the document and click on the Download option from the menu.

Once the changes have been made to the downloaded version of the document, save the file and click on + Add to upload the latest version.

Suggesting changes via the noticeboard

If you have a document that you would like to receive feedback or comments on, you can post the file to the noticeboard.

Link the document to the noticeboard post and invite users to feedback in the comments.

All replies will be under the noticeboard post and one person can then make the updates to the document.

Creating a Google document

If multiple people need to make changes to a document or the changes need to be made 'live', you can add a link to a Google Doc in the documents area.

Multiple people will be able to access and edit the document at the same time.

To add a link to the document, you'll need to:

  • Go to the Documents area

  • Select the + Add button at the top corner

  • Select Add a weblink

  • Copy the link into the Link to box

  • Click Create

This will provide access to a document that can be edited 'live' by multiple people.

Live editing of documents on GovernorHub

We can turn on the ability to edit documents 'live' on GovernorHub, without needing to download the document first.

This is a board setting that needs to be turned on by the support team. Please note, the option to edit documents live on GovernorHub is a Microsoft rather than GovernorHub feature. All users on the board need to be registered with an email address that is linked to an active Office 365 account in order to access this feature.

Once active, any user on the GovernorHub account who is registered with an email linked to an active Office 365 account will be able to make edits into the documents.

If you would like this setting turned on for your board, please contact us at support@governorhub.com confirming that users on your board have access to an active Office 365 account. We can then turn this on for you.
