How do I restrict the visibility of a folder?

How to restrict folders to only be visible to certain committees.

On GovernorHub, you can change the visibility of folders in your board's documents section so they are only visible to people in specific committees.

Please note, only the admins of the committees will be able to restrict a folder. This is different to being the admin of the board.

The admin of the committee will have the Admin tag under their name for the committee they are in.

It's important to note that even though admins of the board may not be able to see a restricted folder, they could still potentially gain access to it by adding themselves to the committee it is restricted to.

What to use this for

Here at GovernorHub we believe good governance involves good transparency. Generally speaking, the documents on your board's GovernorHub page should be accessible to all governors, so you may never need to change the visibility of any of the folders.

However, you may want to use this feature when you absolutely have to restrict papers, for example when you have documents that reference staff salaries or as a lightweight way of managing complaints.

Sometimes you may want to restrict a folder to a group of governors that don't fall into your committee structure. To do this you could make a pseudo "committee" that lists those governors as members.

What not to use this for

As mentioned above, most of the documents on your board's GovernorHub page should be accessible to all governors so you shouldn't need to use this feature for routine committee business.

Managing restricted visibility

The Visible to field on a file or folder tells you who can see it.

You can change a document folder to be restricted to any committee that you are listed as a committee admin of. This is different to being an admin of the board.

To change a folder's visibility, click on the dropdown menu under Visible to and select the committee from the list.

A pop up window will appear asking if you're sure you want to change the visibility of the folder. Click Yes.

The folder is now visible only to the committee. Users outside of the committee will not be able to see the folder in the documents list at all.

Once the folder has been restricted, it will say Restricted visibility in red under the folder name. The Visible to field will also have been changed to the committee.

If you do not see the option to restrict the folder to your committee, please check that you have been set as admin of that committee.

How do I make someone the admin of a committee?

Go to the Committees tab and select the arrow next to the committee to see the users.

Click on the three dots next to the user who needs to become the admin for the committee.

From the menu, select Set as admin. They will become admin for the committee only, not the board.

Can I restrict a file?

Only folders can be restricted, not individual files. If you need to restrict a file, create a new folder and follow the steps above to restrict it. You can then upload or move the file into the newly restricted folder.

Things to note

When you are downloading all documents off of a GovernorHub account using the download all option from the downloads tab (under the About section), restricted folders will not be downloaded.

You will need to unrestrict folders for them to be included in this download. You can do this by making the Visible to option the Governing Board.

If the folder or any of its contents are locked, only board admins will be able to unlock them. They will need to be a member of the committee to access the restricted folder to do so.
