Changing and recording of appointment details

When a governors' appointment changes, you can create a new one and also record details of the previous appointment

Sometimes it's necessary to change a governors appointment details whilst they are still in post, and GovernorHub can store both the old and new details.

The Membership Changes report

All changes of appointment details are recorded within the Membership Changes report available on the Downloads tab, so there is always a record available.

However, if you would like to make the change in appointment details visible on the site rather than in a report, there are several options for you to do so:

Show both appointments directly on the Members tab

You can display both the old and new appointment types at the same time, on the governors entry in the Members tab.

On the Members tab, locate the entry and use the blue + Add an appointment button to create the new details.

Then use the pillar of 3 dots on the previous appointment details to edit the dates as required, to indicate when that ended.

You should then be able to see both appointments listed beneath the members name.

Using both the Current Members and Historical Members tabs

You can first create a new appointment using the blue + Add an appointment button as outlined above.

Then click across to the Historical Members tab to the right side of the Current members.

Use the blue + Add record button to create a new record detailing the previous appointment and the relevant dates. More details can be found here: https://help.governorhub.com/en/articles/4948906-can-i-add-a-new-historical-member-record

You can then go back to the Current Members tab and remove the previous appointment by clicking on the pillar of 3 dots and choosing 'Remove Appointment'

You will then have:

  • the previous appointment recorded on the Historical Members tab

  • and the current appointment recorded on the Current Members tab.

Record the previous details within the new appointment details

You can first create a new appointment using the blue + Add an appointment button.

When the pop-up window appears for the new appointment, you can copy the details of the previous appointment into the 'Additional Information' box.

You will then have the previous appointment details saved within the new appointment details, and these can be viewed at any time by clicking Edit Appointment on the current appointment.
