How to set up your trust or service clerking account and allocate clerks to schools

Setting up your clerking account

If you work with or manage clerks directly, there are features in GovernorHub which will help you assign clerks directly to schools.

This function is controlled from your trust or service's clerking account. The GovernorHub support team will need to set this up for you, and you can request this by emailing them on support@governorhub.com

If there is a clerking account set up already, you can find it via the GovernorHub Admin site. Head to your Home page and then click on the link which sits in the list with your other trust or service accounts.

The clerking account is where you maintain the list of clerks in your clerking team, along with any administrators who manage the allocation of clerks to schools. This list is in the Members tab, and you can add new clerks or administrators from here in the usual way, via the +Add Member button.

Once clerks or admins are members of this clerking group then you can assign them to schools.

Assigning clerks to schools

Once your clerks or admins are set up, go to the Appointments tab.

From here you can choose to either find a school and assign the clerk to it, or find the clerk and assign a school to them.

On the Appointments by governing board tab, you will see a list of the schools in your trust or service. You can use the search bar at the top of the list to search for a specific school.

You can now assign a clerk to a particular school by clicking on the "+" button and then choosing the clerk or admin from the drop-down menu.

You can remove the clerk by clicking on the "x" next to their name.

Alternatively, on the Appointments by clerk tab, you can see a list of all your clerks and admins, and allocate a school to them from here.

Find the clerk in the list, click on the "+" next to their entry and type the name of the school in the new window.

Click on the "x" next to the name of the school to remove it from the clerk.

As soon as you allocate a clerk or admin to a school, they will be visible in the Members tab for that school. They will also be given admin rights on the account and a the tag "A member of..." with your trust or service name will appear beneath their entry, to show which organisation they are a part of.

Checking clerk availability

You can get an overview of your clerks or admins availability by heading to the Calendar tab.

From here, choose the clerks or admins to view, and specify the date range needed. Any events the clerks or admins are involved in will then show up in the list below.

You can download a list of the events if needed, using the blue button.
