Using the AI Assistant effectively

How to use the AI assistant to prepare for meetings and visits, demystify acronyms and jargon and learn how to use GovernorHub effectively.

The GovernorHub AI assistant

GovernorHub’s AI assistant will save you time as a governor and help you find the answers that you need quickly and more efficiently. It will also help you to prepare for your meetings and visits.

It can answer questions about how to use the site, and also about governance more broadly.

Getting Started

To access the AI assistant, click on the blue button at the top of the screen when you are logged into GovernorHub.

This will open the AI assistant search widow.

You can use this box to ask questions about how to use GovernorHub, questions about governance in general or to help you prepare for meetings and visits.

Using the AI assistant to learn how to use GovernorHub

Because the AI assistant contains all the articles in our GovernorHub help centre you can ask it questions about how to use the site, such as:

  • Where do I complete my declarations of interest on GovernorHub?

  • How can I upload a document to my school on GovernorHub?

  • How can I log a governor visit on the site?

The AI Assistant will then give you step by step instructions:

Using the AI assistant to answer questions about governance

Our AI assistant can also search our trusted curated content on GovernorHub, you can use it to ask questions about governance - such as:

  • Finding out what education acronyms mean e.g. "What is a SIP?"

  • What does a trust "Member" do?

  • What should our model school visits policy look like?

Using the AI assistant to prepare for school visits

You can also point the AI assistant to any documents that are stored securely in GovernorHub to add additional context to your prompts (you can add up to 5 documents at once) .

This means you can use the AI assistant to prepare for governor visits.

To add a file to your prompt you select the choose file button shown below:

This then asks you to select which governing board the document sits in (if you are on multiple boards otherwise it just shows your school name here).

You can then select the folder and then the file:

Once you have selected the document, click on it and it allows the AI assistant to use the document to inform the answer it gives.

Add your prompt which could be something like “I am preparing for a SEND link governor visit – please look at our SIP and give me some areas to focus upon and key questions to ask?

The AI assistant will cross reference your SIP with our guidance on GovernorHub about questions to ask on a SEND visit and give you a personalised response:

Some suggestions:

Add the files for both your SIP and your Headteacher report, and then ask the AI assistant:

I am preparing for our next FGB meeting. Can you cross reference the HT report with our SIP and give me some key areas for support and challenge in the meeting?

Point the AI to a longer report such as an SDP report and ask the AI assistant:

Please summarise this report for me to draw out the key points for the governor meeting.
